Zoom Tutorial: How to Use Zoom for Meetings

Zoom is a popular video conferencing tool that allows users to meet virtually with or without video, chat during the meeting, and share screens. This guide will walk you through using Zoom for hosting and joining meetings.


Part 1: Installing Zoom

Step 1: Download Zoom

  1. Visit the official Zoom website: https://zoom.us/download.
  2. Under Zoom Client for Meetings, click Download to get the Zoom installer for your operating system.
  3. Once the download is complete, run the installer and follow the instructions to install Zoom.

Step 2: Create a Zoom Account (Optional)

  1. Open Zoom after installing it.
  2. If you don’t have an account, click Sign Up Free and follow the steps to create an account, or sign in using Google, Facebook, or an existing Zoom account.
  3. You can also sign in as a guest for quick access to a meeting, though having an account offers more features like scheduling meetings and hosting.

Part 2: Joining a Zoom Meeting

Step 1: Join by Meeting Link

  1. If someone invites you to a Zoom meeting, you will receive a link (e.g., via email or messaging app).
  2. Click on the link to open Zoom and join the meeting.

Step 2: Join by Meeting ID

  1. Open Zoom.
  2. Click on Join a Meeting.
  3. Enter the Meeting ID provided by the host.
  4. Enter your name, check/uncheck video and audio preferences, and click Join.

Part 3: Hosting a Zoom Meeting

Step 1: Start a New Meeting

  1. Open Zoom and sign in with your account.
  2. On the Zoom home screen, click New Meeting to start an instant meeting.
  3. Choose whether you want to start the meeting with video on or off.

Step 2: Invite Participants

  1. Once your meeting starts, click Participants at the bottom of the window.
  2. Click Invite to send invites to others via email, or copy the Meeting ID and link to share.
  3. You can also invite participants directly from your contacts or by email through Zoom.

Step 3: Schedule a Meeting (Optional)

  1. On the Zoom home screen, click Schedule.
  2. Fill in the details for your meeting (date, time, duration, etc.).
  3. You can add the meeting to your calendar by integrating with Google Calendar or Outlook.
  4. Click Schedule, and the meeting details will be sent to your email/calendar.

Part 4: Meeting Features and Controls

Step 1: Mute/Unmute Audio and Start/Stop Video

  1. At the bottom left corner of the Zoom window, you will find controls to Mute/Unmute your microphone and Start/Stop Video.
  2. Click on these icons to turn your audio and video on or off.

Step 2: Screen Sharing

  1. During a meeting, click Share Screen at the bottom of the window.
  2. Choose the window or application you want to share (e.g., your desktop, browser, presentation).
  3. Click Share. Participants will now see your screen.
  4. To stop sharing, click Stop Share at the top of the screen.

Step 3: Chat

  1. Click on the Chat icon to open the chat panel.
  2. You can send messages to everyone in the meeting or privately to specific participants.

Step 4: Reactions and Raise Hand

  1. Use the Reactions feature to give non-verbal feedback (e.g., thumbs up, applause).
  2. If you need to speak during a large meeting, click Raise Hand to get the host’s attention.

Part 5: Managing Participants (For Hosts)

  1. Click on Participants at the bottom of the screen to view a list of attendees.
  2. As the host, you can mute/unmute participants, remove someone from the meeting, or promote participants to co-host or panelist.

  1. Breakout Rooms allow the host to split the meeting into smaller groups.
  2. Click Breakout Rooms, choose how many rooms you want, and assign participants manually or automatically.
  3. Once rooms are created, participants will be able to join their designated room.

  1. As the host, you can record the meeting by clicking Record at the bottom of the Zoom window.
  2. You can choose to record locally (on your device) or to the cloud (if you have a Zoom Pro or higher account).
  3. Once the meeting ends, the recording will be processed and saved to your device or cloud storage.

  1. If recorded locally, the file will be saved to a folder on your device (Zoom automatically creates this folder).

Step 1: Adjust Audio and Video Settings

  1. Click on your profile picture or initials in the top right corner and select Settings.
  2. Go to the Audio tab to adjust microphone and speaker settings.
  3. Go to the Video tab to choose the camera, adjust video quality, and apply virtual backgrounds.

  1. In the Settings window, navigate to the General and Meeting tabs to customize how Zoom works during meetings (e.g., enabling waiting rooms, muting participants upon entry).
